Job Summary
A key support role handling inbound enquiries, CRM updates, lead qualification, event coordination, and general admin—playing an essential part in the smooth running and success of the overall sales and marketing function.
What’s involved:
- Respond to all inbound telephone calls with a polite friendly manner, ensuring callers are correctly routed to the right person quickly and efficiently.
- Greet visitors to the office, ensuring they feel welcome and receive an appropriate level of hospitality, with meeting rooms sufficiently prepared before and after meetings (organising catering if required).
- Filter telephone/email/web sales enquiries and qualify potential customers based on a clear criteria (project state, urgency etc)
- Respond to general sales enquiries freeing Sales Managers to focus on higher level discussions.
- Arrange meetings with qualified leads for the Sales Managers.
- Create pdf quotation documents ready for the Sales Managers to review and finalise.
- Keep Pipedrive (CRM System) up to date, ensuring accurate tracking of leads, follow-ups and deal progression.
- Maintain the sales tracker and sales forecasts.
- Ensure a smooth project handover to the operations team reducing the Sales Managers time spent on non-revenue activities.
- Manage outbound communications through the BuildScout platform.
- Manage the administration of exhibiting at consumer shows and Fleming Homes’ Demonstration Days (e.g. firming up stand bookings, ordering supplies, arranging accommodation and parking).
- Attending consumer shows, when required.
- Following up leads from consumer shows.
- Undertake ad hoc tasks that support the Sales Managers and identify bottlenecks to ensure Sales Managers focus on high-impact activities.
- Support the wider sales and marketing team with data collection and general admin tasks.
- General office administration tasks such as filing, archiving documents, shredding, and taking minutes.
